Job Description

Sound Financial Planning provide holistic Financial Planning to business owners; approaching, at or through retirement ensuring that client service excellence is standard. The role:

The purpose of this role is to be the first point of contact for the company and to provide administrative support across the organisation.

Duties and Responsibilities:

Your key duties and responsibilities will include but not be limited to:

General Office Duties

  • Answering of all incoming calls.
  • Managing diaries.
  • Meeting and greeting clients and other visitors.
  • Screening & organising incoming emails for Directors.
  • Keeping back-office systems up to date.
  • Managing incoming and outgoing post.
  • General office maintenance.
  • Maintain office security by following safety procedures.
  • Keeping meeting rooms clean, tidy and stocked.
  • Arranging additional facilities needed for client meetings (e.g. sandwiches,
  • lunch bookings).
  • Ordering and maintaining adequate stationery levels.
  • Ordering and maintaining general supplies for kitchen and office.
  • Assistance with general administrative tasks.
  • Proofreading and typing as required.
  • Arrange travel when needed.
  • Raising and sending invoices & other accounts management.

Project management

  • Assisting with successful delivery of a range of projects from set-up through all execution stages.
  • Reporting on project progress status to the Managing Director and assisting with resolving issues.
  • Coordinating individuals and or departments working together to achieve agreed outcomes.
  • Updating the in-house systems with information gained on projects.

Operations

  • Providing support with operational projects.
  • Assisting the Managing Director and the Leadership Team with the management of daily operational activities.
  • Preparing and maintaining operations documents and reports.
  • Assist with monitoring, controlling, and managing business operations to meet client expectations and company goals.
  • Assist with ensuring that all business service activities comply with relevant acts, legal & regulatory requirements, and ethical standards.
  • Assist with ensuring compliance with company standards and procedures.
  • Assist with identifying operational problems and resolving them in a quickly and timely manner.

IT

  • Keep up to date with technology and suggest improvements to the existing way of working.
  • Liaise with external IT consultants.
  • Assist with ensuring data security, IT, and disaster recovery policies are in place and working.
  • Keep an up-to-date register of hardware, software, and staff passwords.

Marketing & Events

  • Assist with the planning and organisation of conferences, events, staff training, and team activities.

Compliance

  • Practice, the FCA Conduct Rules and the relevant FCA rules at all times.
  • Comply with the relevant compliance, TCF, T&C and financial crime (anti-money laundering, data security, anti-bribery, fraud and corruption) procedures of the firm at all times.
  • Follow appropriate ethical standards within the firm at all times.
  • Ensure relevant CPD is maintained and recorded accurately.
  • Maintain all standards of performance as required by the firm.

Package Details

The successful candidate will receive a basic salary of £20,000 - £24,000 Per Annum.

The Ideal Employee
